New Tekumo Features

07/17/2024 

PURCHASE ORDERS & QUOTES (Vendor and Invoice Tabs)

Added Purchase Orders (POs) andQuotes to the Vendor and Invoice tab in order to keep track of all relevantattachments and values on the WO o POs now appear on the Vendor tabwhere we can see the following:

§ PO Number is underthe “Name” column - Frodo

§ PO amount is underthe “Amount” column

§ File Name: This fileis renamed from its original name after uploading.

e.g. “Purchase Order 64824” > “po_25”

§ Action buttons: Edit,delete, and download attachment

oQuote(s) now appear on the Invoice tab where we can see 2 new cards atthe top with the same format as mentioned above. The cards are:

§ Purchase Orders

§ Quotes

o Forthe customer’s Invoice tab, PO & Quotes both can be showing to customerswhen the “Eye” icon is enabled by the admin

o Added a card under Projects fora combined list of “Purchase Orders and Quotes” where we will see all quotesand POs from all orders under this specific project

SITE NOTE (Order Details)

* Added a field for"Site Note" under the “Order Details” tab > Order Location card

 

o This “SiteNote” can only be viewed by RCs and not customers or techs oThis field is not syncing to the Site Profile or Locations yet. Thatmeans when a note is entered there, it will be order-specific (this will changein the future)

 

* Renamed the"Special Instructions" field to "Site Note" under the"Order Location" card (this shows the input view when editing thiscard)

o The dispatchercan add and edit this note

WORKFLOW

* Added the Workflow ontop of the work order so that it can be always seen regardless of which tab theusers are browsing

oEach step can be clicked on and updated as usual o Userswill see the latest note by hovering over the step (as applicable)

o Users can seeall details and timelines related to the Workflow by going to the Workflow tab

 

* Escalate (E) StepImprovement - Request and Approval Notes o When choosing the (E) step underthe workflow then selecting the "Needs Customer Approval" or "Completed"status, we will now see all details/notes related to that “request” and“approval” on the notes under the “Workflow” tab and under “Internal Notes”

o When the RC selects "Needs Customer Approval"and enters notes on the "Request Note" card, these detailswill appear under the “Workflow” tab and under “Internal Notes”

o When the RCselects "Completed" and enters notes on the "ApprovalNote" card, these details will appear under the “Workflow” tab andunder “Internal Notes”

INTERNAL NOTES

o For now, there are only 3 labels that are specifically related toTech Support and are not used by other dispatchers. The user can also choose“No Label”

o The 3 labels are:

§ TS- Error

§ TS-Action

§ TS-ResolutionoWhen a label is selected, it will be added onto the note heading. Theformat of each note heading will be the following: Label, user’s initials,date/time, and time zone

§ Improved UI so thatthe heading of each note will be on a different line from the note (text)itself as shown below

oAll notes and labels can be edited/changed

o Currently, the date posted for each internal note is the date ofwhen the note was last modified and not date of creation

Note: The dev team will change that so only the date ofcreation is displayed. The History tab will show the date of note creation ANDdate(s) of note modification(s)

o When a note has been modified, it will not change the order ofposted notes (e.g. Editing the note “Test 2” as shown below will notmove it to be at the top of the list as the most recent note. That note willremain in its original place, but the date stamp will update, for now.) 

 

 

 

TEMPLATES

o This feature can be found underthe following

§ Forsingle template update: Projects > Templates > Select template > Edit> Work Details > Description Header/Footer

Once that has been saved, it will concatenate theheader/footer and the body of the description into one

§ Forbulk updates: Projects > Templates > select more than 1 template>click on “…” > Update Template Header/Footer

 

A popup window will show the following to bulk-updatetemplate headers/footers (keep in mind that this will override all selectedtemplate headers/footers)

o Thisis most useful when an important note or announcement needs to be changed for severaltemplates at once for that project

 

DEVICES

Whenthe "Warranty Date" expires, it will now appear in red everywhere,including during and after order creation

MESSAGES 

Every dispatcher will now see thenumber of unread messages on the heading of the Messages tab for allwork orders, whether the dispatcher is pinned or not

Important: Only the pinned “Manager” and"Working On It" can automatically mark those unread messages as“read” by clicking on the Messages tab. Those pinned users are also the onlyones who can manually mark them read/unread, while everyone elsecan view the Messages tab but cannot mark those messages as read/unread

 

NOTIFICATIONS

Added a basic notifications bell iconthat will function as only a notifications hub for orders with pinnedmanagers/dispatchers o If a customer or technician sends a message, the pinnedticket manager and pinned dispatcher will receive a notification

o That notification can be viewed byclicking on the bell icon. This will open a window showing a list ofnotifications

o Clicking on the notification item will open the relevantscope (work order, internal task, etc) and that notification will disappearfrom this list o The action buttons within that window are the following:

§ Popup – this isn’t functional yet

§ Refresh – thisrefreshes the list of notifications

§ Clear All – this clears allnotifications

§ Close – this closes thenotifications window

VENDORS

Show the work order status for eachmarketplace under the "Vendor" and “Order Details” tabs

 

 

Thisstatus will also appear under the “Order Details” tab for “Vendor Details” card

 

SLA CARD

If "Restore Type" isselected, then "Resolution Due Date" becomes Mandatory

Note: This "Resolution Due Date" field will becomeoptional

 

The"Resolution Due Date" is calculated from the SLA Code’s settings

TEKCLOUD

Colors of Publishing cards will change depending onstatus o Gray= Draft

 

o Light yellow =there are techs within 100 miles

o Light green = Published/sent (this will change to white)

o White =Assigned (this will change to light green)

 

 

 

 

 

 

 

 

 

 

 

 

Bugs

§ Tech Tasks are appearing in thewrong order on Field Nation (FN):

Our team has tested and found that this issue is generatingwhen we send an order to FN and it is associated with a FN template, then FNwill re-arrange the technician tasks based on the FN template. The best way toprevent this from happening again is to fix tech tasks on our FN templates.

 

For example, if the “Check Out” task is usually placedunder “Post” in FN, but it is placed under “On Site” in Tekumo, then the taskswill get re-arranged to match the FN template. If we created an order using theFN template shown below, we will see this “Check Out” technician task gettingmoved to be under “Post” to match this FN template

 

§ Fixed a syncing issue with FNand some WM orders related to “Tech Check Out”

 

§ Step Updates - Email Correction

Fixed a notification email that was being sent tocustomers. An example is when a step notification was turned on for the“Assigned” step, the customer was receiving an email stating that the order wasplaced on hold instead of assigned. The dev team will go through all othersteps to make sure the right email titles are being sent out

Reminder: These step update emails are currently being sentto all customer users who have the setting for email notifications enabled

 

 

§ Fixed an issue with newlycreated "Part Types" not loading under "Parts" oThese menus can be found under Admin > Data Elements

 

 

o When adding a new part type,this new type will appear in the dropdown menu under “Add Parts” > “PartType”

 

 

§ Fixed an issue with the billing rate card so that it canaccept decimal points for labor rates

 

§ Fixed an issue when Tekumo messages were being sent to wrongemail domain

 

§ Location names now accept 50 character-long names
